1. Who we are
Pilsdonpen Consultancy Ltd, is the controller of the personal information described in this notice. We are a company registered in England and Wales under company number 16992656. Our registered office is Sparkhouse, Ropewalk, Lincoln, LN6 7DQ, UK.
You can contact us about privacy or your personal information at [email protected].
2. Information we collect
Information you give us
When you use our contact form, we may collect:
- your name and work email address;
- your company or organisation and your role, if you choose to provide them; and
- the question, message or other information you include in your enquiry.
Your name, work email address and message are required to reply to you; company and role are optional. You can email us directly instead of using the form.
We also collect the information you choose to provide when you contact us directly by email, through LinkedIn, by telephone, or during subsequent business correspondence.
Information collected when you visit the website
Our hosting and form providers may receive limited technical information needed to deliver and secure their services. This can include your IP address, browser and device type, the date and time of a request, and basic server or security logs.
3. How and why we use your information
We use personal information to:
- read and respond to your enquiry; and
- arrange a demonstration or discuss a possible business relationship.
Depending on the context, we rely on our legitimate interests in responding to business enquiries and operating our business, or on taking steps at your request before entering into a contract. Where the law requires us to keep or disclose information, we rely on compliance with that legal obligation.
We do not use details submitted through the contact form to send marketing emails, and we do not sell personal information.
4. Service providers and sharing
We use a small number of providers to operate this website and handle enquiries:
- Tally BV provides the embedded contact form and processes responses for us.
- Hostinger hosts our [email protected] mailbox.
- DigitalOcean provides the hosting infrastructure used to deliver this website.
- Fontshare and Google Fonts provide web fonts. Their servers receive the technical information needed to return those font files.
Providers may only use information for the services they supply to us and must protect it appropriately.
5. How long we keep your information
We keep contact-form submissions and enquiry correspondence for 6 months after our last meaningful contact, unless the enquiry leads to a client relationship or we need to retain it for longer to establish, exercise or defend legal claims.
If you become a client, relevant records are kept in line with our contractual, accounting and legal retention requirements. Website and security logs are retained for 12 months.
We securely delete or anonymise personal information when it is no longer needed.
6. International transfers
Tally states that form-response data is stored in the European Union. Some of our providers or their subprocessors may process technical or support information outside the United Kingdom. Where personal information is transferred internationally, we use an adequacy decision or appropriate contractual safeguards where required by UK data protection law.
8. Your rights
Depending on the circumstances, UK data protection law may give you the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete or restrict our use of your information;
- object to processing based on our legitimate interests;
- receive certain information in a portable format; and
- withdraw consent where processing is based on consent.
These rights are not absolute and exemptions may apply. We do not use your information to make solely automated decisions that have legal or similarly significant effects on you. To make a request, email [email protected]. We may need to confirm your identity before acting on a request.
9. Complaints
Please contact us first if you have a concern so that we can try to resolve it. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection. Visit ico.org.uk or call 0303 123 1113.
